Booking with Super Luxury Safaris

Terms and Conditions

How quotes, deposits, changes, park fees and insurance work when you travel with us from Arusha.

These terms form the client services agreement between you (and anyone travelling on your booking) and Super Luxury Safaris, a locally owned operator based in Arusha, Tanzania, operated by Mangasine Digital Services. Please read them before you pay a deposit. By paying, you confirm that you have read and accepted this page.

The written quote and invoice for your dates are part of the contract. The "from" price shown against each itinerary on the website is a starting point for a private departure; season, lodge class and group size can change the final figure, which is confirmed in writing before you pay a deposit.

Agreement and governing law

Bookings and this agreement are made in Arusha, Tanzania, and are interpreted under the laws of the United Republic of Tanzania. Super Luxury Safaris may decline a booking. If we do so before any money has been paid to a supplier on your behalf, we will return what you have paid us.

Quotes and confirmation

A quote is an offer, not a confirmed safari, climb or beach stay. A booking is confirmed only when we have received the deposit stated on the invoice and we have written to you to say the dates are held.

Please check names, passport details, ages of children, arrival flights and lodge style on the invoice. Errors are cheaper to fix before we pay parks and hotels than after.

Deposit, balance and bank charges

Payment instructions appear on the invoice. Send a transfer receipt so we can match the funds. Late payment can mean lodges or park permits are released; we may then treat the booking as cancelled under Cancellation and no-show below.

Changes you request

If you ask us to change dates, flights, lodges, the number of travellers or other services after confirmation, we will try to help. Suppliers often charge their own amendment fees, and those are passed on at cost. Super Luxury Safaris also adds a handling fee of USD 50 per booking for client-requested changes.

A change of season (for example from green season to high season) can increase the trip cost. Moving a date is not a cancellation if we can rebook the same travellers; if we cannot, Cancellation and no-show below applies.

Cancellation and no-show

Cancel in writing (email is enough) before departure. The effective date is the day we receive that notice. Charges are a percentage of the invoiced trip cost. They reflect park fees, lodge deposits and vehicle time that we often cannot recover.

If a supplier (lodge, airline, park or balloon company) withholds more than the scale above, that extra amount is also due. Travel insurance with cancellation cover is the usual way to recover costs when illness or a family emergency stops you flying.

We may, at our discretion, offer a travel credit instead of a cash refund when lodges allow a date change and we are not left with unrecoverable third-party costs. A credit is not guaranteed.

If we must change or cancel

We plan carefully and cancel confirmed trips only when we have no responsible alternative — for example a closed park, a vehicle we cannot replace in time, or too few staff to run a climb safely. If we cancel and you have not failed to pay, we will offer another itinerary of similar standard in a similar period, or a refund of money we still hold that has not been paid onward to a supplier. That refund is the limit of our financial responsibility for the cancellation.

Lodges sometimes substitute a similar room or camp when the named property is full. We will tell you. We aim for equal or better standard in the same area.

Events beyond our control

We are not responsible for delay, extra cost or itinerary change caused by events we could not reasonably prevent: weather, flooded roads, wildfire, park-gate decisions, strikes, mechanical failure of aircraft, epidemic, war, civil unrest, or government orders. Extra hotel nights, meals or flights in those cases are for your account unless a supplier refunds us and we can pass that on.

Game-drive routes, crater descent times and trekking turnaround times can change on the day on the instruction of rangers or the Super Luxury Safaris' Guide. Those decisions are for safety and are binding.

Park fees, taxes and what a quote covers

Your quote is built on the TANAPA, NCAA and other government fees in force when we issue it. If authorities raise park fees, concession fees, VAT or similar charges after you book, the increase is added to your invoice. We do not mark those government charges up.

Unless the invoice says otherwise, a typical safari quote includes the services listed on that document (vehicle, guide, named lodges or camps, and the park fees shown). International flights, Tanzania visas, tips, drinks not stated as included, balloon flights, gorilla permits when not listed, and personal spending are outside the quote.

We publish a starting "from" price per itinerary, but not detailed meal plans. What you eat and where you sleep is written on the itinerary we send you.

Travel insurance

Every traveller must hold insurance that covers medical treatment, emergency evacuation (including helicopter where a Kilimanjaro or remote-park itinerary requires it), trip cancellation and curtailment, and personal belongings. Climbing Kilimanjaro needs cover to 5,895 m. Safari-only travellers still need evacuation cover for the bush.

Super Luxury Safaris does not sell insurance. We can share the itinerary and altitudes with your insurer. Travel without suitable cover is at your own risk and may mean we cannot help you beyond calling local emergency services.

Passports, visas and health papers

You must carry a passport valid for at least six months beyond entry, any visa Tanzania (or Kenya/Uganda, if those countries are on the itinerary) requires, and vaccination certificates your routing demands — including yellow fever when the rules apply to your journey. We are not an immigration or medical authority. Failure to obtain papers is not grounds for a refund.

Tell us all nationalities on the booking. Some travellers need extra time for e-visas. See our notes on Tanzania visas and health and safety.

Declare children’s ages at booking. Some activities (crater long days, high-altitude treks, gorilla permits) have minimum ages set by parks, not by us.

Baggage and domestic flights

You are responsible for your bags and valuables at all times. We are not liable for loss or damage.

On most safari light aircraft, the allowance is one soft bag of about 15 kg plus a small daypack. Hard-shell suitcases are often refused. We may decline excess baggage. Scheduled airlines and some “bush” flights publish their own limits; those rules win.

On Kilimanjaro, porter loads are limited. Pack to the list we send; extra weight can mean an extra porter charged on the mountain invoice.

Wildlife, mountains and optional extras

Wildlife is wild. The Great Migration moves with rain, not with a calendar we control. We place you in the right region for the season; we cannot promise a river crossing, a kill, or a particular species on a given day.

Kilimanjaro, Meru and Ol Doinyo Lengai are physically demanding. The Super Luxury Safaris' Guide may turn a climber around for altitude or weather. That decision is final. Summit success is not guaranteed.

Optional extras (balloons, night drives where allowed, cultural visits, spa time, diving) depend on weather, permits and the supplier. They are confirmed only when that supplier accepts them. Unused extras after you decline them on the day are not refunded if the supplier has already been paid.

Guide authority and your conduct

Decisions of the Super Luxury Safaris' Guide and of park rangers are final on routing, walking, camping and mountain hours. You must follow Tanzania’s laws, park rules, and reasonable instructions on smoking, drones, off-road driving and distance from animals.

We may remove a traveller whose behaviour endangers the group, the crew or wildlife. Unused services in that case are not refunded.

Risk and liability

Safari, trekking and travel in East Africa carry risks: remote medical care, uneven ground, animals, altitude, and road conditions. You join the trip aware of those risks. To the fullest extent Tanzania law allows, you release Super Luxury Safaris, its directors, employees and agents from claims arising from your participation, except where loss is caused by our proven negligence and the law does not permit exclusion.

You agree to indemnify Super Luxury Safaris against claims from your guests or from third parties that arise from your failure to follow these terms or park rules.

Nothing in this page limits liability for death or personal injury where Tanzania law forbids that limit.

Photographs

We may photograph or film the trip for our own records and marketing. By travelling you consent to Super Luxury Safaris using images in which you appear, without payment, unless you tell us in writing before the first game drive that you do not wish to be featured. You keep copyright in photos you take; please do not publish images of our crew or of other guests without their consent.

Complaints and contact

If something is wrong on the road, tell the Super Luxury Safaris' Guide at the time so we can try to fix it that day. Follow up in writing within 14 days of the trip ending. We investigate with lodges and parks; we cannot reverse a park-gate decision after you have left the country.
